1. About Us
Khalsa Panth Academy is an educational and cultural organisation committed to promoting Sikh music, martial arts, language, academic development, and community values. Our services are offered both in-person and online via our official website and associated platforms.
2. Eligibility and Registration
Participants must complete a full registration form and agree to these Terms before attending any classes or events.
For minors (under 18), a parent or legal guardian must complete and sign the form.
We reserve the right to refuse or revoke admission to any programme at our discretion.
3. Attendance Policy
Regular attendance is expected for all enrolled students.
Students must arrive punctually and be collected promptly at the end of sessions.
Repeated non-attendance without prior notice may result in removal from the programme.

4. Student Code of Conduct
All participants must:
- Treat staff, peers, property, and the learning environment with respect
- Follow instructions from tutors and supervisors
- Refrain from aggressive, discriminatory, or disruptive behaviour
- Use equipment responsibly
- Adhere to safeguarding and health & safety procedures
Failure to comply may lead to a verbal warning, written warning, suspension, or removal from the programme.
5. Safeguarding and Wellbeing
We are fully committed to safeguarding the welfare of all children and vulnerable individuals in our care. All staff and volunteers working with children are DBS-checked and trained in safeguarding. Any safeguarding concerns will be dealt with in accordance with our Safeguarding and Child Protection Policy.
6. Medical and Emergency Information
Parents/guardians must disclose all relevant medical, allergy, or behavioural conditions during registration.
We reserve the right to refuse attendance if health or safety is at risk.
In the event of a medical emergency, we will contact the parent/guardian and, if necessary, seek professional medical attention.
7. Fees, Cancellations & Refunds
Fees must be paid as agreed upon registration or by the specified due dates.
Refunds are not provided for missed sessions or voluntary withdrawal after the course has commenced.
In cases where Khalsa Panth Academy cancels a session, an alternative date or refund may be offered.
Refund requests due to extenuating circumstances will be considered on a case-by-case basis.
8. Modifications to Courses and Pricing
We reserve the right to:
- Change course content, schedule, duration, or fees
- Cancel or reschedule classes with reasonable notice
- Adjust offerings to reflect demand or availability
Any major changes will be communicated to enrolled participants.
9. Free Taster Sessions and Mock Exams
Availability of free sessions or mock exams may vary and is not guaranteed. These are offered at the Academy’s discretion. Please contact the centre directly for current availability.
10. Third-Party Services and Links
Our website or programmes may include links to external sites or third-party services. These are provided for convenience only. Khalsa Panth Academy is not responsible for the content, policies, or reliability of third-party providers.
11. Accuracy, Errors, and Omissions
While we aim to keep all published information accurate and up to date, we cannot guarantee completeness or freedom from error. We reserve the right to correct inaccuracies, update course details, and revise information without prior notice.
12. Data Protection and Privacy

19. Equipment Hire Policy
19.1 Availability
Khalsa Panth Academy offers selected musical instruments and martial arts equipment for short-term hire to actively enrolled students, subject to availability and suitability.
19.2 Eligibility

- Equipment hire is available to current students only.
- Individuals under 18 must have a parent or guardian sign on their behalf.

19.3 Deposit & Fees

- A refundable deposit is required for each hired item.
- Weekly or monthly hire fees may apply.
- Deposits will be returned only if the equipment is returned on time and in acceptable condition.

19.4 Use & Care

- Equipment must be used responsibly and solely for educational purposes.
- Any damage, misuse, or unauthorised lending may result in loss of deposit or full replacement charges.
- Lost items may result in a full cost replacement fee.

19.5 Return & Discretion

- Items must be returned by the agreed date.
- The Academy reserves the right to request return of any equipment at any time.
- The decision to approve, deny, or withdraw hire privileges is at the sole discretion of Khalsa Panth Academy.
20. Our Classes
All classes at Khalsa Panth Academy are offered on a subscription basis, charged per child. Payments must be made in advance online or at the academy to secure your child’s place in their chosen classes. This applies to all regular classes, including music, education, and martial arts.
20.1 Regular Monthly Classes (Full Program)

These classes form part of our main structured learning pathway.

Every student must select at least one class from each of the following categories: Instruments, Tanti Saaj, Sikhi Education, and Sports (Gatka/Kickboxing/Self Defence).

Classes run weekly during term time (excluding school holidays).

Payment is taken monthly via direct debit or standing order and is due before the start of each month.

This is a rolling monthly commitment with a 30-day cancellation notice required in writing.

If a class is missed by the student, it cannot be refunded or rescheduled.
20.2 One-to-One Classes (Private Lessons)

Designed for students who want individual attention or flexibility in timing.

You may choose your preferred time slot based on available spaces.

Sessions must be booked and paid in advance, either per session or as a monthly plan.

Recommended for advanced learners or students with specific needs or goals.
20.3 Group Classes (Single Subject Enrolment)

These are standalone classes that do not require full program enrolment.

Suitable for focused subjects such as Yoga, Fitness, GCSE support, and 11 Plus tuition.

You may choose to join just one or more of these classes without enrolling in the full program.

Payment is calculated separately based on the subject(s) selected.
21. Payment Terms

All payments must be made before the 1st of each month.

We accept direct debit, standing order, or bank transfer.

Missed sessions due to personal reasons (illness, travel, etc.) are non-refundable and non-transferable.

If Khalsa Panth Academy has to cancel a class, we will try to offer a make-up session or alternative arrangement where possible.
22. Late Payment Policy

A late fee of £10 will be added if payment is not received by the 5th of the month.

Students with overdue fees may be temporarily suspended from attending classes until payment is cleared.

To avoid disruption, families are encouraged to set up an automated monthly payment method.

Repeated late payments may result in the loss of your reserved space in class.
23. Refund Policy

No refunds are given for missed classes, partial attendance, or early withdrawal mid-month.

A 30-day notice is required for cancellation of regular monthly classes to prevent charges for the next billing cycle.

For one-to-one or group sessions, cancellations with less than 24 hours’ notice may still be charged in full.
24. Sibling Discount

Families enrolling multiple children at the same time will receive:

5% discount for 2 children

10% discount for 3 or more children

The discount applies to the total monthly fee across all children.

All children must be enrolled and actively attending during the same period for the discount to apply.
